W-2 Address Changes
2009 W-2s will be sent to home addresses recorded in HCM and PPS as of
December 9, 2009. Address changes entered into HCM after this date will
NOT affect the 2009 W-2.
Address changes may be entered by current employees directly into HCM via
Self Service (log in to blu.berkeley.edu, click on “Update Personal
Information”). These changes may also be entered into Personal Info in
HCM by HR Administrators.
Former employees who wish to have an address change recorded in HCM should
provide the change to the HR Administrator of the department where they
worked prior to leaving. This should be done in time for them to be
updated by December 9.
Former employees who have moved and not updated their address will be able
to print a duplicate W-2 after February 15, 2010 by logging onto "At Your
Service On-line" (AYSO) http://atyourservice.ucop.edu/ .

IMPORTANT 9/28/09 -UPDATE REGARDING VISA RENEWALS
The University and the Berkeley International Office will be closed for the holidays on November 11th, November 26-27 and from December 23, 2009 - January 6, 2010. In addition, United States Consulates/Embassies are also closed for the holidays (including Thanksgiving, Christmas, and New Years) and international scholars may experience increased wait times for visa appointments. Therefore, we want to make sure that all cases that must be processed before the holidays are received in a timely manner.
ERSO must have all requests (with start dates in November, December, January and February) for new and extending DS2019’s, including all required documents, no later than October 2, 2009.

10 ERSO Employees Were Honored with the SPOT Award!
10 ERSO employees were honored with the SPOT Award for their hard work and commitment. We congratulate all the nominees.

Gee-Min (Jimmy) Chang- Demonstrated service for the Microlab by defining standard processes for new tools, training students and executing engineering tests and being a mentor to undergraduates.

Charlotte Jones- Demonstrated results orientation for getting a vendor’s invoices updated and paid. She managed over 9 months of old invoices in less than a week.

Susan Kellogg-Smith- Demonstrated exceptional collaboration in her efforts to prepare the Microlab move to the Sutarjda Dai Hall. She prepared numerous complex RFQs and demonstrated her endless commitment towards a successful move.

Marilyn Kushner- Provided service in mask making, acid sinks and lithography areas of the Microlab. She serves an important role in maintaining clean environment for the fabrication of microchips and MEMS parts.

Benjamin Lake- Demonstrated results orientation with recent dealings with the builders of the CITRIS building. Nearing completion, Ben and his team provided on-call response support to the general contractor, and delivers shop services in a cost effective manner.

Sherry Liang- Demonstrated results orientation when she was assigned a PI with a fund with complex division of budget among 5 other PIs. With her commitment she organized the fun and closed it out in the span of one week, all the while, keeping up on the management and proposal submission demands of her other PIs.

Jean Lin-Wong- Demonstrated outstanding customer service. She works with 14 faculty, numerous graduate students and other personnel and always takes time to offer assistance to her co-workers, staff and visitors. She acts quickly to resolve problems and has a professional and polite manner at all times

Maria Odezynskyj- Demonstrated initiative in clearing the $2.7M legacy overdraft which ERSO inherited from pre-ERSO establishments. Clearing the $2.7M legacy overdraft from 44+ fund sources is a daunting task, Maria took on the responsibility in stride and worked closely with the campus Budget Office.

Scherry Royal- Demonstrated service when she assisted SPO in a proposal submission. She went through the entire electronic application line by line and was able to provide a very clean final draft. Without her effort the proposal would not have been ready for the deadline.

Willa Walker- Demonstrated results orientation in tackling a very complex $7.2M proposal. She demonstrated her resourcefulness and tenaciousness in this submission. She developed new spreadsheets to create the complex multi layered budget and corralled the faculty into providing what was needed on time with excellence.

ERSO's Shipping/Receiving staff, located in 178 Cory Hall, has finally moved to their new offices in Sutardja Dai Hall this morning. Effective immediately June 2nd, please note the following:
- Purchasing staff will begin to use the new “ship to location” for
goods with the previous delivery location of 178 Cory Hall
- FedEX and UPS have been notified of the new pick-up and drop-off
location in the 266 Sutardja Dai Hall;
- Signs have been posted outside of 178 Cory hall to inform the
delivery drivers of the new delivery location;
- Staff contact information changes. ERSO people finder will be
updated to reflect their new contact information ( please see below);
- Microlab/ Nanolab - please follow should follow previously established and communicated protocol with regard to deliveries of chemicals and heavy items destined for 406 Cory Hall.

2 ERSO Managers Receive the Excellence in Management Award
This year, ERSO is very proud that two managers, Catherine Jen, ERSO Deputy Director and Siavash Parsa, Microlab Process Engineering Manager were recognized for their excellence in management.
The Excellence in Management award provides an opportunity for career employees to acknowledge the exemplary contributions of their managers and supervisors. The 2009 theme "Embracing the Inevitable . . . Change" recognizes those supervisors addressing the needs of their units as a whole, as well as those of individual employees, to successfully navigate current and impending changes in the workplace.
Catherine Jen led ERSO's intranet project. She coordinated directly with central campus offices resulting, in the ability to submit documents electronically for campus processing, improvement in turnaround time, and decreases in lost or misplaced documents. With the development and implementation of ERSO's intranet system, business services staff have been able to increase productivity and accuracy.
Siavash Parsa has created positive change as the managing engineer of the EECS Microlab while unifying a diverse staff. To keep the lab looking towards the future, he anticipates research needs by closely following up on professors' research objectives/activities, as well as keeping an eye on industry trends. He instituted scrap wafer collection and recycling at the lag; generating revenue and helping the photo voltaic and green energy activities.
Congratulations to both Catherine and Siavash- great work!

ERSO SPOT AWARD WINNERS!
This time around we had 20 nominations, 3 of which already received the SPOT award this year making them ineligible to receive it again. The committee only had 11 awards to distribute so they had a very difficult task of voting for only 11. All nominees did receive a letter informing them of the nomination and congratulating them for the efforts. We congratulate all the nominees.
The 11 ERSO employees who received the SPOT Award are:
• Susan Calico- Demonstrated innovation when she designed, coded, and implemented the new website for the Marvell Nanolab.
• Ren Chen- Demonstrated results orientation in quickly responding to equipment problems and maintain reliable equipment operation in the Microlab.
• Heidi Faison- Demonstrated exceptional collaboration in her efforts to resurrect the K-12 EOT program for PEER where she organized graduate and undergraduate student lectures in Oakland schools and developed appropriate education material for the students.
• Leslie Goldstein- Provided service to her PI when she worked with private foundations and quickly navigated through the maze of all the demands from the University and agencies.
• Helen Kim- Demonstrated initiative when she led a training session that clearly described administrative processes. This resulted in work efficiencies and improved morale.
• Greg Michael- Demonstrated service by keeping the Microlab and EE143 teaching lab fully stocked. He does his work quickly, quietly and efficiently! This service enhances the experience for all grad students and staff.
• Elise Mills- Demonstrated outstanding collaboration. With extreme patience she goes above and beyond to explain areas of research administration to others. Even though she has a demanding schedule, she places the success of ERSO as a high priority and gives the extra time and attention.
• Farah Pranawahadi- Demonstrated results orientation when she quickly had to react to a last minute agency request to prepare a project budget with 18 sub awards. This took extensive coordination and as a result of her approach, she successfully submitted the budget on time. Without her this critical deadline would not have been met.
• Tracey Richards- Demonstrated initiative in her consistent pursuit to process complex adjustments and to ensure that the unique industry awards that she manages are correct and compliant.
• Rosemary Spivey- Demonstrated results orientation by providing outstanding fiscal management. At the same time she goes out of her way to accommodate the research groups and industrial members in managing their payment schedules within UC rules.
• Mariko Yasuda- Demonstrated initiative when she single handily took the initiative to change the accounting structure of the funds associated with the two centers. This is no easy task and requires communication and diligent oversight; however, this effort created a sustainable accounting structure for future years.

2009 H1N1 Influenza (Swine Flu) Travel Update

The coverage is free and covers medical emergencies, rescue from natural disasters, and rescue from political turmoil. Print out the information card at the end of the process and take it with you when you travel.

ERSO Take Your Child to Work Day 2009
ERSO’s Third Annual Take Your Child to Work Day (see photos)
On April 23, 2009 ERSO once again celebrated Take Your Child to Work Day. ERSO employees were invited to bring their children (or another lucky kid in their life) to the campus and experience what it is like to work at UC Berkeley. ERSO provided a pizza lunch for kids and staff who participated. Last year we received lots of donations from some of the engineering research groups and other campus departments we were able to use some of those gifts again this year and the children left with bags full of goodies and some ERSO designed activity books.
The kids and their parents took some time to visit a few sites around campus. Cynthia Weekley and her daughter Madison really enjoyed the Grossology exhibit at the Lawrence Hall of Science and Tom Parson's son Aiden told us all about the bells at Campanille Tower. It turns out that one of the hits of the day was moving the book stacks around in the library!
It was a fun day for everyone and we all look forward to seeing how much the kids will grow by the time we see them again next year.
PEER Internship with Richmond High School
The Pacific Earthquake Engineering Research Center (PEER) is excited to announce the launch of an internship with Richmond High School. This internship is aimed at providing 2 students from Richmond High School who are hoping to attend a two or four year college program after graduation with the opportunity of working in a research environment. The students will learn how to digitize research materials, perform database functions, photo editing and get exposure to the PEER libraries and engineering laboratories. The student submission deadline is May 8th 2009. PEER is excited and hopeful for a successful program!

UC Berkeley Payroll Office Announces Economic Stimulus Bill Brings Tax Changes
The American Recovery and Reinvestment Act of 2009 ("Recovery Act"), which was signed into law on February 17, 2009, includes changes in income tax withholding and other items that may
affect employee paychecks. Changes to the tax withholding tables which are used to calculate federal income taxes were implemented beginning with paychecks dated April 1, 2009.

UC Berkeley Payroll Office Announces Electronic Earning Statements Moving to Office of the President’s At Your Service
Beginning March 1, 2009 electronic earnings statements will be available at UC Office of the President’s At Your Service (AYSO) website:
https://atyourserviceonline.ucop.edu/ayso/
You will receive an e-mail each payday from the UC Berkeley Payroll Office when your statement is available to view or print. Note: you must have an AYSO specific userid and password to access the electronic earning statements.
In addition, effective March 1, the AYSO site has adopted the Berkeley campus earnings statement format; click on the View Statement link. The Berkeley format provides important features like year-to-date earnings and deductions.
To reduce redundancies on campus, electronic statements after March 1, 2009 will no longer be available at UCB BLU. You will be able, however, to log onto BLU to print/view statements prior to February 28, 2009.

ERSO 2008 Wage and Tax Statement (Form W-2) Distribution
ERSO employees' W-2s were mailed Friday January 23 to their home address recorded in the Payroll/Personnel System as of December 12, 2008. Address changes recorded after December 12 did NOT affect 2008 W-2 distribution.
Employees who requested electronic W-2's should have received an email instructing them to log onto the "At Your Service" (AYSO) website (http://atyourservice.ucop.edu) to view or print their 2008 W-2. Note: you must have an AYSO specific userid and password to access the electronic W2s.Beginning mid-February, current employees who did not originally sign up for an electronic W-2, will be able to view or print a duplicate 2008 W2 from the "At Your Service" (AYSO) website (http://atyourservice.ucop.edu).
Former employees who have moved and did not update their address should request a duplicate W-2 from central Payroll at payhelp@berkeley.edu. Requests must include employee name and employee ID number or birth date, employee's NEW address, city, state, Zip and a contact telephone number. Central Payroll will begin sending out duplicate W-2s by February 16th.

ERSO Intranet Version 6.0 Released January 23rd
We are pleased to announce that ERSO Intranet Version 6.0 will be released to production this afternoon. Users will find the following new features:
- All functions, other than HR, Accounting role functions, moved to Admin Page
- Fund number field added to the Maintain Award screen, allowing quicker award selection.
- Remove from Queue function added to the Online TRV/ENT Imaging System portal
- Advance Search function fine-tuned
- Weekly Automated Email Reminder function enabled, for requests pending over seven days
- Email confirmation to RSO enabled upon chartstring status change and/or new chartstring entry
- Modify Request Type function added to Admin page, to allow requests to be moved from one type to another by designated administrator
- Local table created to store virtual PI (Center) and RSO mapping to display associated RSO name and enable automatic email notification
- Usability improved on Services screens (i.e., process modified to facilitate submission)
- RSO name displays in request screen with cursor hover over PI name
- HR role restricted to disallow modification of an existing user’s name and CalNet UID
- RSO role restricted to adding new chartstring and changing the status of an existing chartstring, but not modification of an existing chartstring
- System hardening
- Bug fixes
We introduced some of the role restrictions in this release to ensure data integrity. However, the majority of the new features should enhance the functionality and usability of ERSO Intranet. Thanks to all our users who provided feedback to ERSO Intranet support team. Your participation and involvement provided ERSO intranet development team the framework for the continuous improvement of our on-line system. Special thanks to Intranet IT/ Support Team for their hard work and dedication to make this new release possible.
University Mileage Reimbursement Rate Decreases for 2009
The University's mileage reimbursement rates for business use of a private automobile will decrease for expenses incurred on or after January 1, 2009.
- The reimbursement rate for the use of a private automobile for University business travel will decrease from 58.5 cents a mile to 55 cents a mile.
- The reimbursement rate for driving or shipping an automobile in connection with a move or relocation will decrease from 27 cents a mile to 24 cents a mile.
These changes are required to bring University policies in alignment with the revised Internal Revenue Service standard mileage rates. The UCB online travel reimbursement system will display the applicable automobile reimbursement rate based on the travel dates entered. ERSO Travel Expense Report Form will be revised to incorporate this change for expenses incurred on or after January 1, 2009.
